I am committed to protecting your personal data and respecting your privacy. This policy explains how I collect, use, and store your personal information when you commission artwork or contact me. 

 

2. What Information I Collect 
When you enquire about or commission artwork, I may collect the following personal data: 

  • Name 

  • Email address 

  • Postal address (for delivery of artwork) 

  • Any reference images or information you provide about your pet 

 

3. How Your Information Is Used 
Your personal data is used for the following purposes: 

  • To communicate with you about your commission 

  • To create and deliver your artwork 

  • To process payments 

  • To keep records of commissions for business and tax purposes 

 

4. Marketing Communications 
By commissioning an artwork, you agree that I may use your email address to send you occasional marketing communications, including: 

  • Updates about new artwork or services 

  • Special offers or promotions 

You can opt out of marketing emails at any time by contacting me. 

 

5. Legal Basis for Processing 
I process your personal data under the following lawful bases: 

  • Contractual necessity (to fulfil your commission) 

  • Legitimate interests (to run and grow my business) 

  • Consent (for marketing communications) 

 

6. How Your Data Is Stored 
Your data is stored securely and appropriate measures are taken to protect it from unauthorised access, loss, or misuse. 

I retain your personal details as part of my commission records, including for administrative, reference, and accounting purposes. This allows me to manage past and ongoing commissions, respond to enquiries, and maintain accurate business records. 

Your data is only kept for as long as necessary to: 

  • Complete your commission 

  • Maintain commission records for business purposes 

  • Comply with legal, tax, and accounting obligations 

 

7. Sharing Your Information 
I do not sell or share your personal data with third parties, except where necessary to: 

  • Deliver your artwork (e.g., postal or courier services) 

  • Process payments (e.g., payment providers)

Under UK data protection law, you have the right to: 

  • Access the personal data I hold about you 

  • Request correction of inaccurate data 

  • Request deletion of your data (where applicable)

Commission Agreement

Pet Portrait Commission Agreement 

This Agreement is entered into between Bethany Rachel Guest of Bethany Rachel Guest and [CLIENT NAME] on [DATE]

1. Description of Work 

The Artist agrees to create a custom pet portrait based on photographs provided by the Client. 
[MEDIUM], [SIZE], [NUMBER OF PETS] has been agreed upon prior to starting the commission. 

2. Reference Photos 

The Client agrees to provide clear, high-quality reference photos (with natural lighting if possible). 
The Artist is not responsible for inaccuracies caused by poor-quality images. 

3. Timeline 

Estimated completion time is 1 – 1.5 weeks (Working Days) from receipt of: 

  • Deposit (50%) 

  • Reference photos 

Delays caused by late responses or additional revision requests may extend the timeline. 

4. Revisions 

  • One (1) free revision is included with the commission Including the P&P. 

  • The free revision covers minor adjustments (such as colour, small details, or markings). 

  • Additional revisions beyond the first will be charged at £20 per revision

  • Major changes (such as changing the pose, pet, or style) may require a new commission. 

5. Payment Terms 

  • Size [DIMENSIONS] at [PRICE] with [P&P PRICE] P&P 

  • A 50% Deposit is required upfront. The remaining Payment (and P&P, see section7) is required when the artist has completed the commission 

  • All payments are processed through secure payment platforms such as PayPal and Monzo Payment Links 

  • The Artist does not accept unsecured payment methods. 

6. Refunds & Cancellations 

  • Due to the custom nature of the artwork, payments are non-refundable once work has begun

  • If the Artist is unable to complete the commission, a full refund will be issued. 

7. Shipping  

  • Shipping costs are not included in the price. This will be asked for separately along with the remaining 50% of the cost. Once received, the Portrait will be posted/shipped to the required address 

  • All shipping is carried out by Royal Mail, 250g 48 hour tracked. Depending on the size of the piece commissioned depends on the Postage and Packaging Price (9” x 12” - £5.60, 11” x 14” - £6.65 UK, Larger sizes to be discussed, International Shipping is subject to location) 

  • The Artist is not responsible for delays or damage caused by the shipping carrier, but will assist with claims when possible. 

8. Copyright & Usage 

  • The Artist retains full copyright to the artwork. 

  • The Client may display the artwork for personal use only. 

  • The Artist may use images of the artwork for portfolio, website, and social media promotion unless the Client requests otherwise in writing. 

  • By providing your email address, you consent to its use for all communication (including marketing) related to your pet portrait commission, including project updates, reference confirmations and delivery details. Your email will be used solely for purposes directly connected to this commission and will not be shared with third parties without your consent, except as required by law. 9. Agreement Acceptance 

By submitting the 50% deposit payment, the Client confirms they have read, understood, and agreed to the terms of this Agreement.
